Safety File Software South Africa: How to Get Started in 2 Minutes [2026]
In this video
- How to create a SiteReady account (and why there is a quick human check)
- Confirming your email in one click
- Setting up your company profile: CIPC, VAT, COIDA, B-BBEE level and directors
- How your profile pre-fills every document you generate
Compiling a safety file by hand means retyping the same company details into every document: the safety file, the risk assessments, the method statement and the tender pack. Safety file software removes that repetition. You enter your company details once, and every document you generate afterwards is pre-filled.
This guide walks through exactly how it works on SiteReady, as shown in our video demo.
Step 1: Create your account
Go to the sign-up page and enter your name, mobile number, email address and a password. There is a short human check (a simple sum) so automated sign-ups do not reach the platform. You then accept the terms and create your account.
Step 2: Confirm your email
We send a verification link to the email address you used. Click it and you are signed in and taken straight to your dashboard. If the email does not arrive, check your spam folder or use the resend option on the sign-in page.
Step 3: Set up your company profile once
Open Company Profile in the sidebar and fill in what you have:
- Company name and trading name
- Company type, for example (Pty) Ltd
- CIPC registration number, VAT number and tax number
- Contact details and physical address
- COIDA number and B-BBEE level
- Directors, members or owners
You do not need everything on day one. The company name is enough to start generating documents, and you can come back to add the rest.
Why the profile matters
Every document you generate can load these details automatically. That means:
- Your safety file cover page and company information section are completed for you
- Your tender pack lists your directors, registration numbers and B-BBEE details
- You never retype the same address or registration number again
What you can generate once you are set up
| Document | What it is for |
|---|---|
| Safety file | The health and safety file required on a construction site |
| Trade-specific risk assessment | Hazards and controls for your trade |
| OHS risk assessment | Area-based risk scoring with raw and residual risk |
| Method statement | A phase-by-phase safe work procedure |
| Tender pack | Company, director and B-BBEE information for tender submissions |

Frequently asked questions
What is safety file software?
Safety file software generates the health and safety documents a South African construction site needs, such as the safety file, risk assessments and method statements, from your company and project details instead of typing every document from scratch.
Do I need my CIPC and COIDA details to start?
No. You can start with just your company name, then add your CIPC number, VAT number, COIDA number, B-BBEE level and directors to your profile when you have them. The more you add, the more each document is pre-filled.
Is the safety file generated by software legally valid?
SiteReady documents are templates based on common industry requirements. You remain responsible for checking that the content is accurate for your site and complies with the OHS Act and Construction Regulations 2014. Have a competent person review it before use.
